Who we are

AutoVoice Technologies provides AI voice agents for inbound business calls, and resells SonicWall firewall products. Our correspondence address is 295 Madison Ave, 12th Floor, New York, NY 10017. Enquiries about this policy go to info@autovoicetechnologies.com.

This policy covers visitors to this website, people who contact us, our customers, and callers whose calls are handled by a voice agent we operate on a customer's behalf.

What we collect

When you contact us

  • Your name, work email address and company name
  • The category of enquiry you select and what you write in the message

When you are a customer

  • Billing and contact details
  • The business information you give us to train your voice agent: opening hours, prices, services, the answers you want given
  • For firewall customers, the technical details of the network being protected

When the voice agent handles a call

  • The caller's phone number, the time and length of the call
  • An audio recording of the call and a written transcript
  • Anything the caller tells the agent, including a name, an appointment time, or details of their enquiry

When you visit this website

  • Standard web server records, which may include IP address, browser type and pages requested

Call recordings and transcripts

This is the part of the service that handles the most sensitive information, so it deserves its own section.

Where we operate a voice agent for a business customer, that customer decides what the agent asks and what happens to the answers. In data protection terms, the customer is the controller of the call data and we process it on their instructions.

Recordings and transcripts are available to the customer whose line the call came in on. They are not sold, and they are not used to advertise to callers.

Telling callers that a call is recorded is a legal obligation in many places, and it belongs to the business receiving the call. We configure an announcement at the start of the call, and we expect our customers to satisfy themselves that what they have asked us to configure meets the law where they operate.

If you were a caller rather than a customer and you want a recording of your call deleted, email info@autovoicetechnologies.com. We will pass the request to the business you called and confirm what happens.

How we use it

  • To answer your enquiry and provide the service you asked for
  • To operate the voice agent, book appointments and produce transcripts
  • To source, quote, supply and configure firewall equipment
  • To bill you and keep the accounting records the law requires
  • To improve the answers a customer's own agent gives, on that customer's instruction

We do not sell personal information. We do not use call content to build advertising profiles.

Who we share it with

  • The customer whose line the call came in on. Their calls, their transcripts.
  • Technology suppliers we use to run the service, including telephony carriers, speech and language processing providers and hosting providers. They act on our instructions.
  • SonicWall and its distribution channel, where placing or supporting an order for firewall equipment requires it — typically the ordering organisation and serial numbers, not personal call data.
  • Professional advisers such as accountants and lawyers, where required.
  • Authorities, where we are legally obliged to disclose, or where disclosure is necessary to protect someone's safety.

We do not share your information with advertisers or data brokers.

How long we keep it

  • Enquiries that do not become customers are deleted once the enquiry is closed
  • Customer records are kept for the life of the contract and afterwards for the period accounting and tax rules require
  • Call recordings and transcripts are kept for the retention period agreed with the customer whose line they belong to, and are exported to them if the account closes

The retention period that applies to your account is set out in your service agreement. Ask info@autovoicetechnologies.com if you want it confirmed in writing.

Your rights

Depending on where you live, you may have the right to ask what we hold about you and get a copy, to have it corrected, to have it deleted where we no longer have a reason to keep it, to object to or restrict certain uses, to withdraw consent, and to complain to your data protection authority.

To exercise any of these, email info@autovoicetechnologies.com. We will confirm receipt and respond as quickly as the law that applies to you requires, and in any case within one month of verifying who you are.

If your request concerns a call you made to one of our customers, we will pass it to that customer, since the data is theirs.

Cookies

This website does not run advertising or tracking cookies and does not embed third-party analytics or social media trackers in its pages.

The site runs on WordPress. WordPress and the hosting provider may set functional cookies, for example to keep a logged-in administrator signed in or to protect forms against abuse. Ask info@autovoicetechnologies.com for the current list and we will send it.

How we protect it

Access to personal information is limited to the people who need it to do their job. We use the access controls, authentication and logging provided by the systems we operate.

No service can promise information will never be exposed. If a breach occurs that affects your personal information, we will tell you and any regulator we are required to tell, within the timeframe the applicable law sets.

Changes

We update this policy when our practices change or the law requires it. The date at the top shows when it last changed. Material changes affecting existing customers are notified by email before they take effect.
